Firstly, the database needs to be researched so documentation and diagrams can be created. Once the documentation and diagrams are complete, the business rules need to be established. Some example rules are insurance and self-pay are mutually exclusive, and applicable discounts are not billed to either insurance or the customer. After documenting the business rules, the database should be modified to enforce those rules. New training sessions, including a way for employees to prove the have the required knowledge, should be planned. Discuss what effective communication processes are and how technology can be used to facilitate communication. Effective communication is defined as the process of exchange ideas, knowledge, information, or thoughts. For communication to be effective, the message must be clear, correct, complete, precise, reliable, and appropriate for the recipient. Communication can come in four forms – verbal, nonverbal, written, and visual. Often, more than one form will be used to clearly convey a message. The processes involved in communication are idea formation, encoding, channel selection, decoding, and feedback. Idea formation is the sender thinking of a message to communicate. Encoding is the sender conveying that message into words or pictures. Channel selection is choosing the appropriate media over which to send the message. The recipient then decodes the message, turning the sender’s words or pictures into an idea in their own mind. The send can the provide feedback to the sender to ensure the send received and understood the message as the send intended. Technology can be used to create documents, diagrams, or pictures. Again, database documentation is paramount. Following that is the documentation and enforcement of business rules. Employee training is also very important.  The new IT company will research the database to generate appropriate documents and diagrams. Leadership will compile the business rules that must be enforced by the database. The new IT company can now modify the database to enforce the business rules laid out by leadership. A major issue for this company is lack of employee training, or at least verifying the employees have the required knowledge following the training. New training sessions with proof of knowledge at the end of the class will be implemented to ensure employees are intimately familiar with the rules, processes, and use of the order entry system. How can you apply the lessons that you learned from the story to your own retail store problem? As for my own retail store problem, I will ensure the database is documented and diagrammed. Also, I will make sure the database enforces any and all business rules that are stipulated. If any training is required for employees to better understand the order entry system, that will be provided to the employees. One major recommendation that I would make would be to ensure all instructions and troubleshooting procedures are in place. There is no reason that there is no help guide. The second most infuriating issue I noticed is that there seemed to be no proper training across the board with employees. How can an administrative department expect proper execution with improper training? The next item that stands out to me is how employees were allowed to be so relaxed and without a care. Where was management? A mistake here or there I can see but that was just plain negligent. Corrective actions should have been put in place for those who made continual mistakes. This reminds me of when the clinic I was at put a new pharmacy system in place. The software company sent a guy out to install and train us on the system for a week before launch. I would address the communication issue in a couple of ways. First I would ensure email communication and newsletters are sent out properly. With an open dialogue, employees pitch in when others in the organization need their help, and know when to ask for help, in return (Charter College, 2019).  In a retail setting communication and training is vital.
